Privacy Policy

Qwennzy Systems (“we”) respects your privacy and processes personal data in line with Indonesia’s Law No. 27 of 2022 on Personal Data Protection and its implementing regulations.

1. Data we collect

2. Why we process data

1. To answer questions, prepare quotes, and carry out your project or subscription.
2. To bill you, record payments, and meet tax and legal obligations.
3. To send service information, and promotions if you allow it.
4. To improve the quality of our services, including training and evaluating our internal AI assistants (see Section 4).
5. To keep our systems secure and prevent fraud.

3. AI assistants and third parties

1. We use AI assistants and third-party providers to run our services, including AI model providers (to process conversation text and work), cloud server providers, network and email providers, messaging services (Telegram, WhatsApp Business) and payment gateways.
2. Third parties only receive the data they need for their task. Where available, we choose providers that do not use our data to train their models.
3. International transfers: some providers process data outside Indonesia, including in Singapore and the United States. We protect these transfers with encryption and access restrictions.
4. We do not sell your personal data.

4. Use of data to improve our services

1. We may use conversations and work results to train and evaluate our own AI models after names, phone numbers, emails, addresses and other identifying data have been removed or masked.
2. Data from confidential projects (for example your customers’ data or your business’s financial data) is not used for training.
3. You can object to this use at any time by contacting us. Objecting does not affect your service.

5. Storage and security

1. Data is stored on servers with encrypted disks and restricted access, and is backed up daily in encrypted form.
2. Data is kept separate for each client and only accessed for the related project.
3. Retention: project and communication data for the duration of our work together plus 2 years; transaction data as required by tax law; data that has been masked for training may be kept longer.
4. If a personal data protection failure occurs, we will notify you and the relevant authorities as required by law.

6. Your rights

You have the right to:

• be informed about how your data is processed and request a copy;
• correct inaccurate data;
• request deletion or destruction of your data, unless this conflicts with a legal obligation;
• withdraw consent, including for promotions and AI training;
• object to decisions made solely by automated means.

Send your request to [email protected]. We confirm receipt within 3 × 24 hours and complete the request within the time limits set by regulation.

7. Cookies

This website does not currently use tracking cookies or third-party analytics. It only stores your language choice so the site opens in the language you picked. If we add tracking tools later, we will update this policy and ask for your consent where required.

8. Children’s data

Our services are meant for businesses and are not directed at children. We do not knowingly collect children’s data.

9. Changes to this policy

Changes are announced on this page at least 14 days before they take effect.
